1. Organizer
The EXPO-LEGENDS event is organized by 2UPGRADE GAMING SRL.
2. Purpose
These terms and conditions define the participation procedures for exhibitors at the EXPO-LEGENDS event.
3. Application and Selection
Participation in the event requires prior application via the designated form.
The organizer reserves the right to accept or refuse any participation request, without obligation to provide justification.
4. Space Allocation
Spaces are allocated by the organizer based on availability and the event's relevance.
No specific space request can be guaranteed.
Specific badges or access passes may be provided to exhibitors.
These access passes are strictly personal and may not be lent, transferred, or used by a third party without the organizer's authorization.
Participation in the event does not grant any exclusive rights. The organizer reserves the right to accept multiple exhibitors offering similar products or services.
5. Rates and Payment
Stand rates are communicated upon validation of participation.
The reservation is considered final after confirmation by the organizer and receipt of payment.
6. Cancellation
Any cancellation by an exhibitor, regardless of the reason, will not result in a refund.
If the event is cancelled by the organizer, all collected amounts will be refunded.
If the event is postponed, participation remains valid for the new date.
7. Permitted Products, Activities, and Commercial Obligations
Exhibitors agree to only offer for sale products that comply with current legislation.
Specifically prohibited are:
- counterfeit products
- illegal or dangerous items
- any product not matching the description provided during the application process
The organizer reserves the right to demand the immediate removal of any non-compliant product.
Exhibitors agree to comply with all legal obligations applicable to their activity, particularly regarding tax and commercial matters.
Prices must be displayed clearly and visibly to the public.
The exhibitor is solely responsible for managing their sales, invoicing, and complying with administrative obligations.
8. Exhibitor Responsibility
Each exhibitor is fully responsible for:
- their stand
- its products
- its equipment
- damages caused to third parties
The organizer will not be held liable for theft, loss, or damage.
9. Insurance
Each exhibitor is responsible for obtaining insurance covering their public liability and their property.
10. Setup and Dismantling
Exhibitors must adhere to the setup and dismantling times communicated by the organizer.
All equipment used must comply with safety standards.
Exhibitors must keep their space clean throughout the event.
Spaces must be left clean after the event.
They are responsible for disposing of their waste and must comply with the sorting and cleanliness instructions implemented by the organizer or the venue.
11. Operating Hours and Mandatory Attendance
Exhibitors must keep their stand open and operational during all public opening hours.
Early dismantling or closing of the stand before the end of the event is prohibited without the prior agreement of the organizer.
12. Safety
Exhibitors must comply with the applicable safety regulations.
Any dangerous or non-compliant equipment may be prohibited.
Exhibitors agree to comply with the rules, infrastructure, and equipment of the event venue, including SPARKOH!.
Any damage caused to the facilities may be charged to the responsible exhibitor.
13. Equipment and Disturbances
Exhibitors agree to use only equipment that complies with current standards.
All electrical installations must be safe and appropriate. The use of equipment likely to cause an electrical overload is prohibited.
Noise disturbances must be limited so as not to disrupt the smooth running of the event or other exhibitors.
14. Catering and Food Trucks
Exhibitors offering food must comply with the applicable hygiene and food safety standards.
They are solely responsible for the products sold.
Exhibitors acknowledge that certain areas of the event may be subject to external conditions (weather, temperature, etc.).
No compensation may be claimed in this regard.
15. Image Rights
The organizer reserves the right to photograph and film the stands and exhibitors for communication purposes.
The organizer reserves the right to use the name, brand, logo, and visuals of the exhibitors for communication and event promotion purposes, on any medium.
16. Respect for the Event
Exhibitors agree to respect the spirit of the EXPO-LEGENDS event.
Any behavior detrimental to the image or smooth running of the event may result in exclusion.
17. Termination by the Organizer
The organizer reserves the right to terminate an exhibitor's participation in the event of non-compliance with these terms, without refund.
18. Immediate Measures
In the event of non-compliance with these terms or the event regulations, the organizer reserves the right to take any immediate measures deemed necessary for the smooth running of the event, including:
* require immediate compliance
* temporarily suspend the exhibitor's activity
* close the stand
These measures may be applied without prior notice and without compensation or refund.
19. Personal Data
Data collected as part of the application process is processed in accordance with the privacy policy.
20. Disputes
These terms are governed by Belgian law.
In the event of a dispute, only the courts of the judicial district of 2UPGRADE GAMING SRL's registered office shall have jurisdiction, unless otherwise required by mandatory legal provisions.
21. Acceptance
Participation in the event implies full acceptance of these terms and conditions.
The exhibitor may not assign or sublet their space without the prior consent of the organizer.
