1. Organizer
The EXPO-LEGENDS event is organized by 2UPGRADE GAMING SRL.
2. Purpose
These terms and conditions define the participation requirements for exhibitors at the EXPO-LEGENDS event.
3. Application and selection
Participation in the event is subject to a prior application via the designated form.
The organizer reserves the right to accept or refuse any participation request without providing justification.
4. Allocation of spaces
Spaces are allocated by the organizer based on availability and the overall consistency of the event.
No specific location requests can be guaranteed.
Specific badges or access passes may be provided to exhibitors.
These passes are strictly personal and may not be lent, transferred, or used by a third party without the organizer's authorization.
Participation in the event does not confer any exclusivity rights. The organizer reserves the right to accept multiple exhibitors offering similar products or services.
5. Rates and payment
Booth rates are provided upon confirmation of participation.
The booking is considered final once confirmed by the organizer and payment has been received.
6. Cancellation
Any cancellation by an exhibitor, for any reason whatsoever, will not be eligible for a refund.
In the event of the event being cancelled by the organizer, any amounts paid will be refunded.
In the event of the event being postponed, participation remains valid for the new date.
7. Authorized products, activities, and commercial obligations
Exhibitors agree to offer for sale only products that comply with current legislation.
The following are strictly prohibited:
- counterfeit products
- illegal or dangerous items
- any product that does not match the description provided during the application process
The organizer reserves the right to demand the immediate removal of any non-compliant product.
Exhibitors agree to comply with all legal obligations applicable to their business, particularly regarding tax and commercial regulations.
Prices must be displayed clearly and visibly to the public.
The exhibitor is solely responsible for managing their sales, invoicing, and compliance with their administrative obligations.
8. Exhibitor liability
Each exhibitor is fully responsible for:
- their booth
- of its products
- of its equipment
- for damages caused to third parties
The organizer cannot be held liable in the event of theft, loss, or damage.
9. Insurance
It is the responsibility of each exhibitor to obtain insurance covering their civil liability and property.
10. Setup and teardown
Exhibitors agree to adhere to the setup and teardown schedules provided by the organizer.
All equipment used must comply with safety standards.
Exhibitors agree to keep their space clean throughout the duration of the event.
Spaces must be left clean after the event.
They are responsible for the removal of their waste and must follow the sorting and cleanliness guidelines established by the organizer or the venue.
11. Hours and mandatory attendance
Exhibitors agree to keep their booth open and operational during all public opening hours.
Early teardown or closing the booth before the end of the event is prohibited without prior approval from the organizer.
12. Security
Exhibitors must comply with current safety regulations.
Any equipment that is dangerous or non-compliant may be prohibited.
Exhibitors agree to respect the rules, infrastructure, and equipment of the event venue, specifically SPARKOH!.
Any damage caused to the facilities may be billed to the responsible exhibitor.
13. Equipment and disturbances
Exhibitors agree to use only equipment that meets current standards.
All electrical installations must be secure and appropriate. The use of equipment likely to cause an electrical overload is prohibited.
Noise levels must be kept to a minimum so as not to disrupt the event or other exhibitors.
14. Catering and food trucks
Exhibitors offering food must comply with current food hygiene and safety standards.
They are solely responsible for the products sold.
Exhibitors acknowledge that certain areas of the event may be subject to external conditions (weather, temperature, etc.).
Exhibitors acknowledge that they possess all necessary authorizations, registrations, and/or approvals from the AFSCA for their activities, where required.
No compensation may be claimed on these grounds.
15. Image rights
The organizer reserves the right to photograph and film stands and exhibitors for communication purposes.
The organizer reserves the right to use the name, brand, logo, and visuals of the exhibitors for communication and promotion of the event, on any medium.
16. Respect for the event
Exhibitors agree to uphold the spirit of the EXPO-LEGENDS event.
Any behavior detrimental to the image or the smooth running of the event may result in exclusion.
17. Termination by the organizer
The organizer reserves the right to terminate an exhibitor's participation in the event of a breach of these terms, without refund.
18. Immediate measures
In the event of a breach of these terms or the event regulations, the organizer reserves the right to take any immediate measures deemed necessary for the smooth running of the event, including:
* requiring immediate compliance
* temporarily suspending the exhibitor's activity
* closing the booth
These measures may be applied without notice and without compensation or refund.
19. Personal data
Data collected during the application process is processed in accordance with the privacy policy.
20. Disputes
These terms are governed by Belgian law.
En cas de litige, seuls les tribunaux de l’arrondissement judiciaire du siège social de 2UPGRADE GAMING SRL seront compétents, sauf disposition légale impérative contraire.
21. Acceptation
La participation à l’événement implique l’acceptation sans réserve des présentes conditions.
L’exposant ne peut céder ou sous-louer son emplacement sans l’accord préalable de l’organisateur.
